Cherished Moments Ltd (“Cherished Moments”, “we”, “us” or “our”) is committed to protecting your information and acting in accordance with your rights under data protection laws. This Data Protection Policy sets out how we will use your information.

This Data Protection Policy shall apply to any individual, potential customers, customers, employees, agents and independent contractors, who provide us with personal information for the purposes enquiring about our services, booking a service, applying for a job, and any contractual, or sub contractual work.

Collection of your information

Cherished Moments may collect the following information about you:  

a) personal details such as your name,, e-mail address, home address phone number, and other information provided by you in your enquiry, during the course of engaging with our services as a customer, employment applications, contract or any other registration provided by us and completed by you;

b) the content and information you provide through our customer portal, any messages or communications you share with us. Cherished moments does not monitor or share this information with any third parties.

c) your payment details, transaction references if you are a customer, and bank details if you are a paid employee who receives a salary from Cherished Moments Ltd, or as a contractor.

d) other information that is otherwise lawfully obtained about you including images and video from Cherished Moments serviced events, quotes, and feedback.

How we will protect your personal data

We protect your personal data by storing it securely, and ensuring only certain personnel with password protected authentication can access personal data for the purposes set out below (please see the section on ‘How we will use your information’). Personal data related to employees will only be accessed by authorised personnel. We will never share your sensitive personal data and, to the extent possible, we will not attach such data to your personal record.

How we will use your information

We will use your information for the purposes of administering your enquiry or contract, in order to contact you about your enquiry for services or contract of work. This includes making reasonable adjustments in line with the Equalities Act 2010, or other additional support that may be required by employees.

By submitting an enquiry through our website, or securing items for event hire, you are providing your consent to us processing your information for the purposes of contact regarding your enquiry for services, fulfilling the order requirement for hire, applicant selection for employment, or to carry out our legitimate business interests and activities.

If your application for employment or contractual work is successful, we will continue to process your information as necessary for the performance of our contract with you.Please note that whilst you can withdraw your consent at any time in the manner set out below, failure to provide your consent may mean that we cannot consider your application or you may not be able to continue your employment or contract.

We may use your information to communicate with you about offers, updates, and services we believe may be of interest to you in accordance with your communicated preferences. This might include sending you our newsletter on services, special offers, blog posts, wider sector news, invitations to events, and other general business updates.

On occasions we may also use information you provide such as quotes, questionnaire and service feedback, photographic images and video footage owned by Cherished Moments or any customer associated supplier at events such as photographers and videographers, for marketing or fundraising purposes.  This includes social media, websites and printed material.

We will use employee information to maintain records about your employment and basic personnel files. We will use contractor information to maintain records about your engagement with Cherished Moments and to keep records accordingly.

Disclosure of your information

We may share your basic personal information such as name, and contact details with any relevant employee, contractor, or sub-contractual suppliers to realise the execution of services if necessary, this seldom occurs.

Transfer of data outside UK

We may store your information on third party data centres located outside the UK, where there is not a similar standard of data protection laws. If so, we will take steps to ensure that adequate levels of protection are applied to your information. Cherished Moments shall make available a current list of third-party third service providers outside the UK receiving your information.

Retention of your information

We will hold your information on our systems for as long as is necessary for the relevant activity unless a longer retention period is required by law, in which case we will hold your information for the period required by law.

Your rights

Under data protection laws, you have a right to:

You have the right to ask us for copies of your personal information.

(b) Your right to rectification

You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You have the right to ask us to erase your personal information in certain circumstances.

(d) Your right to restriction of processing

You have the right to ask us to restrict the processing of your personal information in certain circumstances.

(e) Your right to object to processing

You have the right to object to the processing of your personal information in certain circumstances.

You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

Status of Data Protection Notice

This Data Protection Notice is non-contractual. We reserve the right to amend it from time to time. Amendments will be posted to the website and, where appropriate, through e-mail notification. Unless otherwise specified all such changes will take effect immediately upon posting to the website.
